The Company

The Works is a specialist recruitment company founded in 1991 that has built up an excellent reputation for constantly delivering high quality tailored recruitment services to the industrial & logistics, commercial, construction, engineering and technical sectors, both on a temporary and permanent basis. The company has offices in Bradford, Heckmondwike, Barnsley & Manchester.

The Challenge

Prior to the availability of online recruitment software, The Works operated a traditional model for search and selection across each of the company's locations. Telephone and email were the primary communication methods with both prospective candidates and clients. Whilst this method delivered an acceptable service, it was apparent that the administration overhead and lack of flexibility was making the operation inefficient and cumbersome. Tasks, such as the collation of CV's, job matching and tailoring of materials and timesheets, were all undertaken manually. This required additional staff to be taken on to coordinate and manage these activities. Consultants were restricted to working from the company's office locations so that data access and collaboration on projects with colleagues could be achieved. To address these shortcomings, The Works investigated an online, Web-enabled solution that would address the long term strategic requirements of the company and help to generate greater revenues.

The Solution

Eploy proposed a hosted, online solution that would centralise the entire search and selection process that offered built in functionality to automated much of the administration. The tailored package was designed to integrate seamlessly with the client's website, offer mobility options through web enablement and introduce enhanced management capabilities. Secure access to a centralised database was available to users 24hours a day, 365 days a year.

The data supplied was of poor "quality" so it was decided that a complete data cleansing exercise was required to produce more manageable and accurate data. Much of the specialist skills associated with candidates had been typed by consultants so there was no defined skill structure for associating candidate skills and many spelling mistakes and typing errors had occurred.

The Eploy team separated all the skills found in The Work's data to create a more manageable and useful skill structure with several levels of skill groups representing the diverse nature of The Works candidates.

The Result

The Works selected Eploy as its preferred online recruitment software solution and support company.

The Works receives around 300 new registrations per week, 250 of which are for specific vacancies. None of these are now 'touched' by a consultant until they research a vacancy and consider the applicants who have applied for that position. Eploy's built-in tools automatically extract data from the original CV and create a branded agency copy in the company's format. This automation has significantly reduced the business's administrative overhead.

As part of the Eploy suite, clients can now log into the system and authorise timesheets. This facility has been well received with the majority of timesheets available to clients for processing at the start of each week. In addition, the solution has helped the business in its goal to become a paper-less office.

"It has completely revolutionised the way they operate. Because the system and website are integrated, it's simple to move consultants around and even home working is part of our business now. Consultants now have 24 hour access to the system 365 days a year from any fixed or mobile device with web access and we can distribute job alerts and CV's to potential candidates at a moment's notice. All information can be traced and tracked making candidate management straightforward and responsive. It also allows the company to open new locations very quickly without the need for onsite or networked databases."

The Works escalating maintenance costs also stopped after adopting eploy even though their candidate database and number of system users has grown significantly. This is largely due to the fact that all the intelligent searching, skill matching and general processing is carried out on the Eploy servers and communication between the different offices incurs no additional networking or infrastructure costs due to the nature of true browser based recruitment software.

By working in partnership with Eploy to develop and update our system we have achieved considerable time and cost savings, management benefits and ultimately an improved service for our customers.
