The Challenge

TOTAL first started using Eploy for their graduate recruitment portal in 2007 having looked at similar systems the company had implemented for National Grid and Eon. "They had a very short lead time and needed the entire system to be developed and tested within a matter of weeks," explains Paul Burgess, Managing Director of Eploy. "We were confident that this could be achieved because of Eploy's unique design and our in-house web design team was able to match TOTAL's corporate branding perfectly so their existing website design partners could link straight to Eploy to enter the new career portal."

The Solution

A temporary system was set up based on existing corporate recruitment systems we had implemented previously with TOTAL’s corporate branding. TOTAL began to evaluate this system in detail and identified several areas for customisation regarding the candidate registration process. The changes were made to the temporary system and the automation features of the system were discussed. For example, many automatic emails are sent to consultants and candidates to keep them informed of their progress so their system was quickly tailored to reflect their requirements.

To enhance the graduate's experience and to save consultants’ time, we included minimum entry criteria for individual graduate schemes to ensure unsuitable candidates were automatically rejected and notified of the reasons during the registration process. The final phase was to implement several management and activity reports to provide instant visibility of the process to the recruitment consultants managing the scheme.

Several training days were arranged and one of Eploy's technical experts remained on site to discuss the customisation of the actual recruitment system and additional tools and features that TOTAL could take advantage of. During this further consultation stage, several management and activity reports were identified. The Eploy development team implemented these so they were instantly accessible to Total's recruitment consultants and management team.

The Result

The TOTAL career portal has been running successfully since 2007 and many thousands of candidates have been processed efficiently. The automatic rejection of unsuitable candidates has saved many man-hours in administration and the ranking of suitable candidates has also proved to be a very useful feature.

Eploy has provided TOTAL with a centralised tracking system and has enabled a much higher level of transparency between the parties involved in the recruitment process, e.g. recruitment consultants, management teams and external assessors.

Paul concludes; "Each year, TOTAL's graduate portal continues to evolve in line with Eploy's latest web-based tools. Previous years’ candidates are archived into a separate system to avoid any confusion and a completely fresh recruitment system is set up which we integrate with all of TOTAL's additional reports and settings. Due to Eploy's unique 'plug-in' design, this can easily be achieved at a minimum cost each year."
