The Works

The Works are a well established recruitment agency placing both permanent and temporary positions across a diverse range of industries throughout the UK since 1991.

The Challenge

The Works were looking for a complete recruitment system that was faster and more reliable than their existing system with fewer limitations. Their existing system was not only limited by the functionality it provided, but was not flexible enough to meet their specialist demands. They work from multiple offices and wanted to link them without the infrastructure costs involved with other recruitment systems. Their IT manager wanted a system that was easy to use to save him time with support but that also employed the ASP model as their internal hardware maintenance and support costs were escalating with their existing system.

Due to the nature of the temporary recruitment arm of their business and lack of computer literate candidates, they wanted to speed up the time to placement by using the mass SMS merging tools provided by eploy. They also have a very active sales team and the CRM tools built into eploy were ideal for monitoring and logging sales activity as well as tracking the performance of individual members of their team.

The Works wanted a complete re-design of their website with the ability to offer new services to their candidates and clients via their new website.

They also used a back office payroll solution and wanted eploy to integrate with it.

The Solution

The data supplied to us was of poor "quality" so it was decided that a complete data cleansing exercise was required to produce more manageable and accurate data. Much of the specialist skills associated with candidates had been typed by consultants so there was no defined skill structure or standard used for associating candidate skills and many spelling mistakes and typing errors had occurred.

The eploy team separated all the skills found in The Work's data to create a more manageable and useful skill structure in eploy with several levels of skill groups representing the diverse nature of The Works candidates.

The Works then fine tuned this skill structure and assigned synonyms to skills to ensure that however candidates specified skills in their CV's etc. they would still be picked up when searching in eploy. Once The Works had finalised their hierarchical skills and skill groups, the eploy team ran specialist tools to sift through their existing candidate CV's, notes, profiles etc. to pull out and assign relevant skills to candidates, creating a much more structured and reliable system for searching.

Once The Works were completely happy with the imported data, the go live date was set and the eploy training team visited The Works at their different locations to coordinate the training and ensure The Works consultants were ready to start using eploy efficiency. The Works went live and the eploy trainers remained on site to provide instant "hand holding" training and support to the many users. One of the eploy technical team was also on site to discuss The Works requirements for integrating with their existing back office payroll software. A suitable system was proposed and accepted and the eploy developers developed a tool that was accessible by The Works administrators from within eploy to synchronise their eploy data with their back office payroll system.

Once the initial migration to eploy was complete and The Works were using eploy efficiently they went ahead with the website design and integration with eploy. Their website went live and they began receiving registrations and job applications through their new website.

The Result

The Works have now used eploy for several years and have been very involved in suggesting new features and improvements, which is something that we actively promote among our client base. Many of their suggested enhancements have been included in each product update with no development charge as they are beneficial to all our clients.

The Works management team also produce several bespoke management reports which were developed specifically for them and integrated into their eploy system. These have dramatically reduced the time it takes to produce usable reports for their monthly and quarterly meetings and have improved the accuracy of their decision making metrics.

The Works escalating maintenance costs have now stopped even though their candidate database and number of system users has grown significantly. This is largely due to the fact that all the intelligent searching, skill matching and general processing is carried out on the eploy® servers and communication between the different offices incurs no additional networking or infrastructure costs due to the nature of true browser based ASP recruitment software.
