ARRK Recruitment
ARRK Recruitment is the Recruitment Consulting division of ARRK Technical Services Ltd. They have over 15 years experience in the Technical Recruitment field. They mainly source candidates for contract and permanent assignments nationally and internationally. As part of the ARRK Group of companies, they recruit within the group as well as for UK and European clients.
The Challenge
ARRK were using one of the industry leading client server based systems. Due to the technical skill sets of their candidates, powerful search tools were essential. They also required specialist tools to manage their contract and permanent placements. They were reasonably happy with their existing functionality but felt it lacked the flexibility and additional benefits of a web based system.
They wanted to be able to link their system seamlessly with their website and offer more value added services to both their clients and candidates. Working from multiple offices also meant that their existing system was very slow to use from satellite branches as an ASP solution. This was because it was not truly browser based and relied on slower VPN (Virtual Private Network) technology.
The Solution
ARRK's main concern with moving to a new system was the implication of migrating data. They had bad experiences in the past when moving to their incumbent supplier with areas such as timescales, data integrity and loss of data. They were also concerned that employees would struggle with the transition and wanted our assurance that business disruption would be kept to a minimum.
ARRK sent us a copy of their data from their existing vendor and we began work on their data import. During this time, a temporary system was set up for them to continue their evaluation and ensure that eploy offered all the functionality that their existing system did. They provided feedback to our customisation team who updated the temporary system until it was completely tailored around ARRK's working methods and recruitment work flow. This also meant that staff could start to get a feel for eploy® before training.
Once the draft data import was complete, the temporary system was updated with ARRK's actual data from their existing system for them to provide feedback. A couple of tweaks were required before ARRK were completely satisfied that all data from their existing system had successfully been brought across into eploy®.
Once the temporary system had been successfully set up for ARRK, several consecutive on-site training days were arranged with the go live date being arranged after the final training day. This was to ensure that staff could hit the ground running with full confidence in the new system.
During the final training day, we received a complete backup of their latest database along with their entire candidate CV's & files and began importing data into a completely new system ready for the go live date.
During the go live date, we arranged for a trainer to be on site to offer "hand holding" support to anyone who required it on the day and to make sure the migration went as smoothly as possible.
The migration went with great success and it was decided that the temporary system would remain active to use for training additional users or users who required extra attention. Further support was provided by our in house support team over the phone.
Once ARRK were using eploy® efficiently a meeting was arranged with our website design team to create a new recruitment website for ARRK and fully integrate it with their eploy® system to further save costs and administration work and enhance their value added offerings as a company.
The website was developed into the temporary system for ARRK to evaluate from a candidate's and client's perspective. Once ARRK were happy with their new website it went live and began capturing candidate data and providing many additional services.
The Result
ARRK were impressed with the smoothness of the migration including both the quality of the data import and overall project management. The training and support meant that employees could continue to do their day to day jobs with minimal disruption. The website was everything they had hoped for and provides the kind of integrated online career portal that only a web based system can deliver.
During the initial rollout ARRK regularly sent requests for additional features they had identified during discussions with their project manager. These requests were discussed and scheduled with the eploy development team and their system updated with the enhancements. ARRK also identified several bespoke management reports to develop into the system to save time on report generation and to further increase their control on the overall running of their business.
This is an ongoing process and we continue to work with ARRK, to add market leading features.
